The MA Jobs Portal (“the Portal”) is an internal web application used by M&A Industrial Construction LLC (“M&A”, “we”) at www.manda-ne.com/jobs-portal/ to manage jobs, crews and daily timesheets. It is not offered to the public. This policy explains what the Portal does with the information it receives from QuickBooks Online and from its users.
What the Portal reads from QuickBooks
When an administrator of the M&A QuickBooks Online company authorizes the Portal, the Portal reads the employee list through the Intuit QuickBooks Online Accounting API. For each employee it keeps only:
- Name and display name
- Phone number, email address and mailing address
- Hire date and release date
- Active / inactive status and employee number
- The QuickBooks record identifier and the date of the last change
The Portal never reads or stores Social Security numbers, tax identification numbers, dates of birth, bank account details, pay rates, W-4 elections or any payroll, invoice, customer or financial data from QuickBooks.
One-way connection
The connection is read-only. The Portal never writes, changes or deletes anything in QuickBooks. It only sends read requests to the QuickBooks API.
Why we use this data
To keep the Portal’s list of workers aligned with QuickBooks: new hires appear in the Portal, employees made inactive in QuickBooks are deactivated in the Portal, and contact details stay current. This allows supervisors to assign crews and record timesheets for the right people.
How the data is stored and protected
- Data is stored in the WordPress database of www.manda-ne.com, hosted in the United States.
- Intuit access tokens and the application secret are stored encrypted (AES-256).
- Access to the Portal requires an individual login and, for privileged roles, a second authentication factor. Only the owner and the accounting role can view or change the QuickBooks connection.
- Every change made from QuickBooks data is written to the Portal’s audit log.
Sharing
We do not sell, rent or share this information with third parties. Data is used only inside M&A for workforce and job management. Service providers that host the website (GoDaddy) process data on our behalf under their own terms.
Retention
Worker records are kept for as long as the Portal is in use, so that historical timesheets remain complete. Disconnecting QuickBooks stops all further reading; records already in the Portal are kept unless deleted by the owner.
Disconnecting
The QuickBooks connection can be ended at any time by the Portal owner (Settings › QuickBooks › Disconnect) or by the QuickBooks company administrator from QuickBooks Online (Apps › My apps › Disconnect). Either action revokes the Portal’s access token.
